Records

Your records, in your words.Defined by you, from the first field.

Trysquare starts with no record types at all. You define the ones your business tracks, the fields each one holds and how they link, and your forms, automations and reports are built on top of them.

Record types, fields and links of your own

A record type is anything you track. Give it the fields it needs and link it to the others.

  • 01

    Fields for what you record

Text and long text, whole and decimal numbers, yes or no, dates and times, a list of options, and links to other record types, each with its own limits and whether it is required.

  • 02

    Links both ways

Link an asset to its site, and the site lists its assets. A record's page shows what links to it, its assignments, and anything added during them.

  • 03

    Lists that suit the job

Choose the columns each record type lists, filter on any field with all or any of your rules, and sort the way you work. Labels are built from the fields you pick.

Import · From a spreadsheet

Bring your spreadsheets with you

Most businesses already keep their sites and assets in a spreadsheet. Import it rather than retyping it.

  • 01

    CSV or Excel

Upload a CSV or Excel file, into a new record type or one you already have.

  • 02

    Fields worked out for you

Importing into a new record type suggests a field type for each column from what is in it.

  • 03

    Errors you can fix

Rows that cannot be imported come back with the reason, so you can correct them and try again.

Changes · Safe by design

Change your mind without breaking anything

Your setup will change as your business does. Changes that would damage records you already have are refused, with a count of what they would affect.

  • 01

    Refused, not lost

Changing a field's type while it holds values, making it required while records lack one, or removing an option still in use is refused until the records are dealt with.

  • 02

    Rename freely

Renaming a field changes its label everywhere, while the records behind it stay exactly as they were.

  • 03

    Deleting is deliberate

Removing a field that holds data asks you to confirm first, so nothing disappears by accident.

See it in action

Built around what you track, in your words.

Pick a sector to see how a business there could set up the platform: the records it defines, the forms it fills in against them, and the automations that keep people informed. Every name here is yours to choose.

Illustrative example

ISO 27001 / SOC 2

IT & Cybersecurity

An IT security team auditing laptops, cloud servers and SaaS applications could track serial numbers, assigned employees and data sensitivity ratings as evidence for ISO 27001 and SOC 2.

Annual IT Asset Security Review

Checks disk encryption, antivirus status and access control on each asset.

  • Is disk encryption enabled?
  • Is antivirus up to date?
  • Is access control configured correctly?
Automations
Laptop added → notify the security lead in-app
Security review completed → email the assigned employee

FAQs

Questions about records

What can I track?

Anything your business works with: sites, assets, vehicles, tenancies, clients, contracts. Each is a record type you define, with the fields and links it needs.

Can I import what I already have?

Yes. Upload a CSV or Excel file into a new record type, with field types suggested from the data, or into one you already have. Rows that cannot be imported come back with the reason.

What happens if I change a record type later?

Whenever you like. Most changes are instant, and changes that would damage existing records, such as changing a field's type while it holds values, are refused with a count of the records affected until you deal with them.

Do record types cost extra?

No. You can define as many record types as your business needs.

Can records be added and changed on the phone?

Yes. The mobile app lists, adds and edits records, with or without signal, and syncs the changes when it can.
